Link Response Technologies LLC ("Link-Response," "we," "us," or "our") operates the AI-powered call answering and appointment scheduling platform at link-response.com. This Privacy Policy explains how we collect, use, and protect information — including mobile phone numbers — in connection with our services.

1. Information We Collect

• Caller information: Name, phone number, service address, and issue description provided during a call with our AI assistant (Riley).
• Business client information: Company name, contact email, billing details, and technician roster.
• Call data: Recordings, transcripts, duration, and outcome classifications stored for quality assurance.
• Usage data: Portal login activity, calendar integrations, and configuration settings.

2. How We Use Your Information

• Scheduling and confirming service appointments on behalf of our business clients.
• Sending SMS appointment confirmation messages to callers who have scheduled a service.
• Providing business clients with call logs, summaries, and scheduling dashboards.
• Improving the accuracy and performance of our AI assistant.

3. SMS Messaging & Mobile Numbers

When a caller schedules a service appointment, they may receive a single SMS confirmation message. The following terms apply:

• Non-sharing: Mobile phone numbers are never sold, shared, or transferred to third parties for marketing or commercial purposes.
• Message frequency: One (1) SMS confirmation per appointment booked. No recurring marketing messages.
• Message and data rates may apply depending on your mobile carrier plan.
• Opt-out: Reply STOP to any message to opt out immediately. Reply HELP for support. Contact: support@link-response.com.
• SMS messages are sent on behalf of the specific home services business the caller contacted.

4. Information Sharing

We do not sell personal information. We share information only in these limited circumstances:

• With business clients: Caller information is shared with the business to facilitate the service appointment.
• With service providers: AWS (cloud infrastructure), Twilio (SMS delivery), Nylas (calendar integration), and Vapi (voice AI). These providers process data only as necessary.
• Legal compliance: When required by law or valid legal request.

5. Artificial Intelligence & Third-Party AI Services

Our AI assistant, Riley, is powered by OpenAI's GPT-4o model, accessed through the Vapi.ai voice AI platform. We do not run a self-hosted or offline AI model.

• Calendar data is never transmitted to our AI provider. When Riley checks a technician's schedule, our backend queries Google Calendar (via Nylas) and passes only a simple available or unavailable time-slot result to the AI model. Calendar event details — including titles, descriptions, attendees, locations, or any other calendar content — are never sent to OpenAI or Vapi.
• Limited Use compliance: The use and transfer of any information received from Google Workspace APIs to or by any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
• We do not use Google user data to train generalized AI models, and we do not permit our AI service providers to do so.

6. Data Retention

Call logs and transcripts are retained for up to 12 months. Business client data is retained during the active service relationship and deleted within 90 days of account termination upon written request.

7. Security

We implement industry-standard security including TLS encryption in transit, encrypted storage, and AWS Secrets Manager for credential management.
